Thank you for choosing Off Grid Expedition Rentals. Please read these terms and conditions carefully before using our services. By proceeding with a booking or rental, you acknowledge that you have read, understood, and agree to be bound by these terms.
1. Booking & Reservations
1.1 Booking Process
- All bookings should be made via our website, email, or telephone.
- Reservations are confirmed only upon receipt of a booking confirmation and the required deposit payment.
- We reserve the right to decline any booking at our discretion.
1.2 Deposits & Payments
- For equipment rentals: Full payment is required at the time of booking.
- For the Mountain Cabin: A 30% non-refundable deposit is required to secure your booking, with the balance due 14 days before your adventure.
- For guided experiences: A 50% deposit is required, with the balance due 7 days before the scheduled activity.
1.3 Security Deposit
- A refundable security deposit of £100 is required for equipment rentals.
- For the Mountain Cabin, a refundable security deposit of £300 is required.
- Deposits will be refunded within 7 days of equipment return, subject to inspection.
2. Cancellations & Modifications
2.1 Cancellation by Customer
- Equipment rentals: Full refund if cancelled more than 48 hours in advance. No refund for cancellations within 48 hours.
- Mountain Cabin: 70% refund if cancelled more than 14 days in advance. 50% refund if cancelled 7-14 days in advance. No refund for cancellations within 7 days.
- Guided experiences: 50% refund if cancelled more than 72 hours in advance. No refund for cancellations within 72 hours.
2.2 Weather-Related Cancellations
- For adverse weather conditions that make activities unsafe, we offer:
- Rescheduling to an alternative date at no extra cost
- Credit voucher valid for 12 months
- Partial refund (minus a 15% administration fee)
2.3 Modifications
- Requests to modify bookings must be made as early as possible.
- Changes are subject to availability and may incur additional charges.
- We will accommodate reasonable modifications where possible.
3. Equipment Rental
3.1 Condition of Equipment
- All equipment is thoroughly inspected before rental to ensure proper functioning condition.
- Customers must inspect equipment upon receipt and report any issues immediately.
- By accepting the equipment, the customer acknowledges it is in good working order.
3.2 Use of Equipment
- Equipment must only be used for its intended purpose and in accordance with our guidance.
- Customers must follow all safety instructions provided.
- Equipment must not be used under the influence of alcohol or drugs.
- Sub-letting or lending of equipment to third parties is strictly prohibited.
3.3 Return of Equipment
- All equipment must be returned by the agreed time and date.
- Equipment should be returned in clean condition, allowing for everyday outdoor use.
- Late returns will incur additional daily rental charges.
3.4 Damage & Loss
- Customers are financially responsible for any damage beyond normal wear and tear.
- Lost, stolen, or irreparably damaged items will be charged at current replacement value.
- Any damage or loss must be reported immediately.
4. Mountain Cabin Rental
4.1 Cabin Usage
- The Mountain Cabin accommodates a maximum of 2 persons.
- No smoking is permitted inside the cabin.
- Pets are not permitted unless specifically arranged in advance.
4.2 Location & Positioning
- While we make every effort to position the cabin at requested locations, this is subject to access, permissions, and safety considerations.
- Final positioning decisions rest with Off Grid Expedition Rentals staff.
- We reserve the right to relocate the cabin if necessary for safety or legal reasons.
4.3 Cabin Facilities
- The cabin is self-contained with limited resources (water, electricity, fuel).
- Customers are advised to use resources responsibly.
- Any operational issues should be reported immediately.
5. Guided Activities
5.1 Guide Discretion
- Our guides have absolute discretion regarding routes, activities, and safety decisions.
- Guides may modify or cancel activities if they deem conditions unsafe or participants unprepared.
- Customers must follow all instructions given by guides.
5.2 Participant Requirements
- Participants must disclose any medical conditions, injuries, or concerns that might affect their ability to participate safely.
- We reserve the right to refuse participation if we believe a customer’s condition may endanger themselves or others.
- Participants must be equipped with appropriate clothing and personal items as advised in pre-trip information.
6. Liability & Insurance
6.1 Limitation of Liability
- Outdoor activities involve inherent risks. Customers participate at their own risk.
- Off Grid Expedition Rentals accepts no liability for injury, loss, or damage arising from normal risks associated with outdoor activities.
- Our liability is limited to the maximum extent permitted by law.
6.2 Customer Insurance
- We strongly recommend that customers have appropriate insurance coverage for their chosen activities.
- Equipment rental does not include insurance coverage for personal accident or injury.
6.3 Indemnity
- Customers agree to indemnify Off Grid Expedition Rentals against all claims, liabilities, damages, and expenses arising from their use of our services or equipment.
7. General Provisions
7.1 Privacy
- Customer data is handled in accordance with our Privacy Policy and relevant data protection regulations.
7.2 Governing Law
- These terms and conditions are governed by the laws of England and Wales.
- Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
7.3 Amendments
- We reserve the right to update these terms and conditions at any time.
- Current terms will always be available on our website.
